Nested Groups Vanish

Hi! I set up a nested group of about 30 (one master group with 30 nested inside). Everything looked great. Added a bunch of files to the various groups. I then quit DTPO and when I relaunched later on, only the master group and one nested folder remained :open_mouth: I then re-created all the other 29 missing ones. Quit the program, and then restarted it. Same thing happened…Then I tried recreating one group at a time, quitting DTPO, relaunching, and the additional group remained. This doesn’t seem to be the way it’s supposed to work. Have I missed something here? Would appreciate any help.

Thank you in advance!

Have you quit everything on the computer, emptied the trash, and rebooted recently?

What View are you using? Was the master group at the root of the database (top level) or was it a child of another group? If the latter, where was the master group? Can you make other new groups at the top level, and then drag one of those into a another group. Say, make A and B at the top level, and then drag B into A so that it is now a child? Have you been able to make groups and children successfully before and then that stopped working for you? Seems from your writings that you’ve used the product for a while now, and used groups before with success.

Good Morning Korm! Thanks so much for the help.

With regard to quitting, emptying the trash and rebooting, no I haven’t done that in a few days.

The view I’m using is 3-pane.

The master group was at the top with the children nestled below.

I just tried and yes, I was able to create 2 new top level groups (A & B) and I was able to drag B into A (B became the child).

I have used groups before without problems before, which is what made this seem odd. I am working however, on a new database (the other groups are in other db’s). It’s a bit unnerving to have this happen as I can’t figure out why this is occurring: currently, I have all the master files duplicated in my finder. I’m hoping that with this specific db I won’t have to first scan to a finder folder (as I’ve been doing) and then import into DTPO. Rather, I am planning on scanning directly into the db; once I go live, I won’t therefore have master copies. So, figuring this out is critical.

Maybe a helpful clue to the problem is this finding: After I first discovered this problem, on the second attempt, I backed up the db before quitting (thinking if things went South, I would have a working backup). After relaunching and finding the groups and data missing again, I launched the backup and everything was missing there too. It would appear this would suggest the data I stored and could see prior to quitting doesn’t appear to have been stored (and whence was never backed up).

Any ideas and helpful insight would be much appreciated  Thanks so much for your time Korm!

Is this reliably reproducible? If so, can you provide step-by-step instructions ? Thanks.

In addition to Jim’s note, have you run Verify & Repair on this new database?

What happens if you create another new database and test things there?

Don’t take this wrong – but are you sure you’re look at things from the root of the database and now drilled down into some other group, etc.? I cannot count the times I’ve looked at a program in a panic and thought “it’s broken!!!” and then realized I wasn’t looking at the right thing.

Yes it is reproducible; In recreating the data into the db it occurred 3 times.

Step 1. Select “Group” from the toolbar
Step 2. Enter the name of the root group
Step 3. Select “Group” from the toolbar for what will become the child.
Step 4. Name child group
Step 5. Add/drag child group into root/parent
Step 6. Open up parent to show parent and child groups
Step 7. Highlight opened parent group
Step 8. Repeat step 3 to add in the # of child groups; at this point, as
each new child is added, a name is put on it, then the tab is hit,
highlighting the child group just added
Step 9. Repeat step 8
Step 10. Add data either through scanning or left-clicking from finder
folder and adding in documents that way.
Step 11. Quit DTPO.
Step 12. Relaunch DTPO. Viola: Data and groups are gone

The db I had been using was only 128MB, but it was operational for a number of months and did not have any groups set up until yesterday.

Interestingly, I created a new db and started anew and so far  it is working. Judging from your question Bluefrog, it sounds like my experience is not normal. Since so far I have no problem on the new db, maybe the older one was somehow corrupted? Not sure though as I have routinely run tools > verify and repair as well as optimize, and then exported for backups the db. So I have no idea what happened; I’m not sure you will be able to reproduce. A bit disconcerting to not know what happened.

Any thoughts or ideas would be helpful. Thank you.

One thing that I would suggest is don’t delete the problematic database just yet. If the problem is reproducible, it’s likely that support will want to look at it.
