I need a license plan for me

Ok, us start with my private DB. I have a Mac-Book, a Notepad and a Smartphone. My plan is to do the main work at home with the Mac-Book. So there I need a DevonThink Licence and two To-Go-Licences for the Notepad and the Smartphone? Or can I use DevonThink on the Mac-Book and the Notepad (then one license) and To-Go on the smartphone?

Next is my wife. For the Mac she needs a second DevonThink-Licence too, or is a to-Go-Licence ok? If she needs the Devon-Think Licence: How can we Synchronize the Databases? My wife only works in the read only mode.

Then my Database splits in the parts “private” and “Book”. In the Project “Book”, other Persons are involved. At least everyone of them need a DevonThink-Licence. Assume thet Someone run the scans and does the ocr’s to. Do everyone need the Pro-Version or only thoose persons who need the function.

DEVONthink To Go (DTTG) runs on iPads and iPhones. DEVONthink (DT) runs on macOS. The licensing for DT is explained on the companies web site. One DTTG license is valid for five (I think) devices tethered to the same Apple ID.

There are about a gazillion threads on synching here, nothing can be said on that that hasn’t been said and repeated already. Best to use the search function in the forum and ask specific questions if anything remains unclear.

Devonthink license (Mac), includes 2 seats
That should cover you and your wife

Devonthink-To-Go license (iPhone/iPad) covers all devices using the same AppleId
Only one license needed

Perhaps a server license would be more practical or economical? Though I don’t know how that would work with

You would activate one of the two DEVONthink seats on her Mac.

How can we Synchronize the Databases?

For most cases like this, we would recommend using a Bonjour sync on your local network. Check out this forum post about using a Bonjour sync: Bonjour Simplified

There is no read-only mode in DEVONthink databases. Either of you could make changes to a synced database.

  • Do you actually mean the database is split into parts?
    • If so, there is no keeping someone from accessing the private parts of it. Ideally, you’d have separate private and Book databases.

(You do not need the FileReader-runtime to work with the document?

If you OCR the document, everyone synchronizing the database will have the text layer. Scanning alone is not sufficient!

That still doesn’t answer what “the other people” are supposed to do with DT.

The Pro and Server editions of DEVONthink have OCR built-in. However, as noted, just scanning doesn’t make a document searchable.

If you are scanning with a third-party application it may have OCR capabilities. In that case, it you would be putting a searchable PDF into the database and need no further OCR processing.
If not, you’d need to do OCR on the document, either via an OCR application or via Data > OCR > To Searchable PDF in DEVONthink.
