Newbie Questions - Any help appreciated...

A couple of questions occurred to me that I would like answered that I can’t seem to find documentation on.

  • I have a lot of documents in my business. About 5GB worth, may be more… I was wondering if the database in DThink could handle that amount of data reliably and if there were any cautions about doing so.??

  • Can I have a large database like that reside on a external hard drive, or does it have to be on the computers hard disk??

  • My biggest fear is that the database gets corrupted and I’m no longer able to retrieve my documents. Is that a possibility or are there safe measures in place to protect against that besides backups? Meaning would my data be encrypted and unusable if the database ever corrupted?

  • Finally about moving documents. In my playing with program I’ve Indexed a bunch of Folders on a drive, (which I understand as just links which is fine)… When I add a file to the Indexed Folder, it’s also provided as a link. Is there any way to physically move the file to the Indexed Folder, while still retaining it’s new link?? (not sure if that made clear sense…)

Basically it’s no problem but in the end it depends on the nature of the documents. Just index them (see command File > Index…) and check the database properties (see File > Database Properties…) - how many unique/total words and how many items does the database contain? And how much RAM does your computer have?

Sure. But some external drives have caused problems in the past, e.g. Lacie drives causing data loss in combination with an iSight camera.

DEVONthink 2 stores the files as is, therefore at least your documents will be always accessible (assuming that the drive/volume will be still fine). However, to be on the safe side, you have to create backups. Not only of DEVONthink databases but of all your data. On different computers/volumes, on DVD/CD. The more, the better.

How do you add the file? In the Finder or via a command of DEVONthink?

Hi. I’m a photographer, so mostly it’s a mix of images, pdf’s, word docs, and web captures. The images and pdf’s take the majority of the space. Probably over 5GB, which is stored with DropBox.

I’d like to keep it in DropBox if possible, and hope that DThink can manage that. How do I indicate where the Database should reside?

I have 4GB ram, on a MacBook Pro 17"

Ok, I was under the impression that if the data is embedded in the database that would not be accessible if the database was corrupted. That’s good to know.

On moving documents: If I import them via DT using File Index, is there anyway to physical move other index files to the indexed folders via DT??

Example. I have a folder in DropBox that I imported via File>Index (or drag over with the key commands) So the Folder indicates a Alias with the curved arrow. I have a file on my desktop that I also want to Index but I also want to move it to the Folder in DropBox. Is there a way to do that via DT? All my efforts show the move in DT, but the file still remains on my desktop and is not physically moved to DropBox.

I’d like to be able to physically move it via DT if possible.

That’s only possible using DEVONthink Pro. Or by using an alias if you’re using DEVONthink Personal. Replacing ~/Library/Application Support/DEVONthink 2 with the alias should do the trick.

I have the Pro Version. Is it in a manual or documentation someplace on how to move my database or tell it where to reside?

I noticed that when I imported some documents (in this case jpgs) into my database, the dialog box stated ‘Failed’ as a unknown document. What would cause it to that?

My last question is, once I’ve imported the documents into the database (not indexed), can I or should I delete the original or previous, since technically instead of 5GB of dataspace, I’ve now doubled it.

If you are using DEVONthink Pro simply move the .dtBase2 database file (package) to the Dropbox.

You can delete the original after importing it but that’s up to you.
