No automatic converting into Searchable PDF in Inbox

I got a new MacBook Pro. When was setting up Devonthink like on my MacBooks before I found out, that ScanSnap is no longer available for my Fujitsu ScanSnap S1500M. I am now trying Test Versions of Exact Scan and VueScan, since the Scanner is still working fine. I can scan and the Scans are saved as PDF in the Inbox of Devonthink. Under Settings I have set up OCR to convert into Searchable PDF when a new PDF comes in. But It does not work… with VueScan it sees the file already as Searchable PDF which it is not, since I’m not using OCR in the Scan software. With exact scan it appears as pdf file, but it does not convert automatically. Manually I can convert the files in Devonthink. But I want it to work automatically like before… Any suggestions? Thanks

You could also try the search function in the forum. There was a thread about three weeks ago about using the scansnap software with Apple silicon.

If your rule is not working, it might help to post a screen shot of it. And having a look in DTs log window.

Yes I know that. I had it running on my last Macbook with M2. Problem is, the software is not any longer available from Ricoh.

As I said: there’s a thread here about the issue. And it points to Ricoh for the software. The link is very much alive.

Thank you for your help. But I already searched the Internet and discussion groups. I was at the Ricoh Web Site, I contacted them… as of November they don’t support ScanSnap anymore and it’s not offered for download… I did my research. That is why I asked the question about getting the automated Searchable PDF conversion in Devonthink to work…

and I don’t have a rule in Devonthink. I want the OCR function in the settings menu to work like it did before…

For you I searched this forum for “scansnap” and found some hits.

This on might help. Might be others.

Yes I did the search too. ScanSnap is not available anymore. I tried everything. My question is not about ScanSnap it is why a new pdf file inserted in Inbox is not made searchable by DEVONthink … here is my question again: I am now trying Test Versions of Exact Scan and VueScan, since the Scanner is still working fine. I can scan and the Scans are saved as PDF in the Inbox of Devonthink. Under Settings I have set up OCR to convert into Searchable PDF when a new PDF comes in. The links @bluefrog provide doesn’t give you what you are looking for? (Sorry, I did not dig too far into the details).

Does DEVONthink have Full Disk Access enabled in System Settings > Prviacy & Security?

Have you installed the Exactscan support in DEVONthink 3 > Install Add-Ons?

That’s after I selected Sequoia and the scansnap 1600 on the Ricoh size that doesn’t exist

Also @hmartin, it’s very likely you’re not getting OCR since you’re running the trial version of Vuescan. It applies a watermark so the document already comes in with a text layer. DEVONthink would see this as a PDF+Text document and see no need to do OCR on it. That’s nothing we control.

I can’t specifically test Exactscan as I don’t have a licensed copy here.

I have a S11500M and ScanSnap Home does not support it… only the old ScanSnap Manager which is not available anymore

What does the ExactScan Plugin Do? I installed it. Do I have to set up anything. I have the all File access set. Thedocument gets scanned and saved as pdf in Inbox… But the OCR in Devonthink does not start

It allows DEVONthink to detect input from it.

  • Does the PDF have a watermark?
  • Is the kind PDF+Text when it imports?

The links @bluefrog provided are to software other than Home. At minimum just try and see.

I trashed my two Scansnaps as the old software was indeed not available but then after the disposal they relented.

I use the following smart rule to force incoming PDF’s to be OCR’d regardless of whether they already have a text layer or not, and whether scanned or just added to the Inbox.

Why? Re-OCRing a document isn’t something that should be done indiscriminately.

Also…

  • Why are you using the file extension instead of Kind is PDF/PS? We recommend Kind is PDF/PS and Word Count is 0.
  • Why aren’t you using OCR > Apply? It doesn’t generate any secondary files.

I re-OCR because I get a better recognition rate than with my scanning process.

The other stuff I use works fine as far as I can see. I put it together very quickly by just looking at the menus. There’s more than one way to skin a cat. There may be more efficient ways to get the same result, but it’s no extra effort on my part and I didn’t have to plough through manuals.

I was merely recommending something that appeared to solve the OP’s problem, as the responses so far didn’t seem to be helping.
