SOLVED: No OCR for scanned PDFs after DT4 upgrade

I just upgraded to DT4 (4.0.2) and find that OCR no longer happens when I scan documents from my ScanSnap scanner.

I tested with a document still using DT3 before upgrading and the result was a ‘PDF+Text’ document.

I then upgraded to DT4 (moving DT3 to the trash, so only one version is on the user account) and updating the ScanSnap Home action to scan to the new version of DEVONthink.

Now the test document gets scanned as ‘PDF Document’.

I have OCR settings as follows:

I have tried the trick I saw in an older forum thread of changing to “No Action”, quitting and restarting DEVONthink, and changing back to ‘To searchable PDF’. This did not fix the issue.

Are there other things I need to try or do to get OCR working again?

ADDITIONAL INFO:

  • I tried restarting the Mac
  • There were no items in the Log window
  • I am running macOS 14.7.8 (Sonoma) on a M1 Mac mini
  • I need to stay on Sonoma as it is the last macOS version that supports my scanner

I do not have access to the DEVONthink Manual just now to check for you, but is not set up instructions published there?

Yes, I believe I have followed the instructions but the OCR is not happening. That is why I am asking about it here.

In DT3, I have the following smart rule:

Did you have one in DT3 and not re-create it for DT4? I’m still on DT3, but I don’t think smart rules get automatically moved over to DT4. That’s one reason why I haven’t upgraded yet.

Anyway, try creating this smart rule and see if that fixes your issue.

I had forgotten that the ABBYY FineReader OCR needs to be installed separately as an add on.

Once I installed it, OCR of scanned items worked as expected.

  • Did you just migrate from 3.x to 4.0.2 and this was the virgin launch of the app?
    • If so, you should have been prompted about add-ons to install.

Yes, I just migrated from 3.x to 4.0.2 and it was the first launch of 4.0.2.

I just installed on a second Mac and took a screen shot for the prompt screen. I’ve attached it below: “Welcome to DEVONthink Server”.

There were a number of things about this screen that made it seem like it was for new users and not upgrading users.

First, I don’t have a license for DEVONthink Server, so it was already a bit suspect that this information was correct for me. (I realize that during the trial period of the app the DT Server features are all enabled, so I figured that the audience for this screen was not for an existing customer with a license key)

The first step is “Make A Database” but I am upgrading so I already have a database, so the first step doesn’t really apply to me.

So the first two pieces of information didn’t seem to apply to me as an upgrading user.

The step “Install Add-Ons” doesn’t mention OCR, so even reading closely there’s no hint that might be where to go to solve the issue. The Add-Ons text also specifically mentions it being for “DEVONthink Server” and since I don’t have a license for DEVONthink Server, it also seemed like it didn’t apply to me.

And then finally with “Customize”, I assume that the vast majority of customizations would persist between my DT3 install and DT4 install, so this step also seemed like it didn’t apply very strongly since I was upgrading.

So sandwiched between a title that welcomes me to the wrong edition of the software and two steps that don’t necessarily apply to a upgrading user was the important step, which didn’t mention OCR at all.

I provide this as feedback as to my experience with that prompt screen and why an upgrading user may find it doesn’t seem to be applicable and ignore it.
