Undesirable rearrangement of files

Recently I noticed that (after updating to macOS Tahoe, but it must have happened earlier in 2024 if I look at the changes) there has been a change in the storage of my documents.

My current (for 2 years) hardware: MacMini M2Pro with 5 SSDs connected to it. Devonthink is installed on the internal SSD. Data on external SSDs in a separate enclosure.
For years, my working method has been as follows: documents are digitised using a ScanSnap (under ExactScan Pro). The files created in this way are stored in a directory called ‘SCANS’ on an SSD and automatically opened in DEVONthink (currently 3) and further stored in a database, which is stored on another SSD under Documents.
This way, even if the database becomes corrupted or otherwise, I can always retrieve the original documents.
I started using this method in 2009 and have since moved from an Intel MacPro to a MacMini M1 to my current setup.

Now this no longer seems to work: ExactScan still indicates that the scanned file should be saved in the ‘SCANS’ directory and opened with DEVONthink3, but the file is not saved in the specified directory. Instead, I now find these files on the internal SSD under: /Volumes/MacGebr/ Users/willem/Library/Application Support/DEVONthink 3. :roll_eyes:

What is a adequate strategy to restore the original desired situation?

Seems to be a ExactScan problem, doesn’t it? At least I take from your post that scans are no longer saved in the specific directory. So you have a problem even before DT comes into play.

You could try to temporarily set another folder on your drive as destination in the ExactScan settings to see if that works.

That seems like a plausible idea. However, that is not what happens.
I followed your suggestion and created a separate directory. The scanner neatly saves the created PDF in that directory, but when DEVONthink reads that file, it is dragged to Application Support and deleted from the scan directory.
This is clearly visible in a new empty directory (but it happens quickly).
So the problem lies with DEVONthink after all.

The annoying thing is that I can no longer scan and add to the database in a workflow… No, I first have to scan and then manually add the PDF to the database.

  1. DEVONthink doesn’t “drag anything” anywhere.
  2. The Global Inbox is the only database living in our App Support folder.
  3. DEVONthink doesn’t delete anything unless told to, including via a setting, like OCR > Original Document > Move to Trash.

That is certainly not a DEVONthink issue, especially not if the documents are loose in that directory.

More information, e.g., screen captures, of your ExactScan setup could be helpful.

That’s good to know. An alternative could be for ExactScan to start a script to move the file. I now see that that programme is on version 25, while mine is version 23.12 (23.12.30). So I will upgrade this first and then get back to you. Even if the problem turns out to have disappeared (and then with my face red with embarrassment).

I have now upgraded ExactScan to v.25.1, but unfortunately, the problem persists.

Is this enabled or disabled in DEVONthink?
