I tend to scan large quantities of documents (bills, receipts, correspondence etc) in batches via my scansnap. That leaves me with a large number of generically named files in the global inbox.
I’ve experimented with Riffo.ai which examines the document’s content and can then rename it based on the content and it will add a valid date eg Grocery_Receipt_from_XYZ_Store_11_10_2023 etc.
It seems to work very well and can be used as a downloaded Mac app.
My Question: What would be best practice to accomplish this renaming? If I right-click the document in the DEVONthink inbox and choose Show in Finder, I can rename the file in the source folder using the Riffo app however that renaming is not reflected in DEVONthink itself and I suspect that’s not good practice either!
You can add a shortcut to the Global Inbox to the sidebar in Finder, making it visible outside of DT. DT will empty that location when it runs, but in the meantime you can do whatever third-party processing you want.
It’s not. If you intend to use this renaming utility, disable sending the scans to DEVONthink in your scanning profile, set scanSnap Home to do the OCR, and process the files in the Finder with the renaming app. Import the processed documents when finished. And do not set your scanning profile to scan to the Global Inbox.
Thanks kewms. So, I would identify the global inbox of Devonthink and add a shortcut to that. Then have Riffo act on that before opening Devonthink itself?
Thanks Bluefrog. I will also try this idea. What would be a good strategy for dealing with the couple of hundred of scans that are already in the Global Inbox in meantime? Could, I for example, drag them into Riffo and rename them then re-add to the Global Inbox and then remove the original poorly named now duplicates?
