Scanning directly into a DevonThink group from Scansnap

I just purchased DEVONthink Pro 4. I figured out a way to get my scansnap to scan into DEVONthink. Is there a way that I can scan directly into a group in DEVONthink and not into the inbox. For example, for auto receipts I have a group called auto and under that a couple groups with each auto - like Toyota and Honda. If I wanted to scan a receipt I have forthe Toyota, can I scan directly into that from the Scansnap? Secondly, with Scan to DEVONthink chosen as the under Scan Settings in Scansnap Hoome, other than clicking on the scan button on the computer screen, will pressing on the physical button on the scanner itself scan to DEVONthink? I guess I could play around and test with the physical button but trhe more important question is the ability to scan into a group in Devonthink automatically rather than having the scans go into the inbox. Thank you.

No, you can’t directly target a group in the ScanSnap profile. Groups created in DEVONthink don’t exist in the filesystem so there’s nothing to select.

You should read the In & Out > Handling Paper (Other Options) section of the help for the recommended way to set up a ScanSnap profile to use with DEVONthink.


At the basic level, set DEVONthink’s Settings > Files > Import > Destination to Select group and the group selector will appear when receiving scans.

Above that, it is possible to use the Data > Classify or View > See Also inspector to classify documents via DEVONthink’s internal AI.

Going beyond that, it’s possible to create automations, e.g., smart rules, batch processing, or scripts, to assist in filing.

Like Bluefrog said, I would just make a rule that moves it for you to the group where you want into go.

Is Scansnap still the gold standard for DEVONthink?

My Brother ADS-2700W seems to have fallen into a “vintage” status and not all of the configuration options work with MacOS15. It still works fine, it’s just a bit fiddley with naming my scans. I want them to at least begin with yyyy-mm-dd, and I’d also like to be able to “push” from the scanner by pushing the button.

Any suggestions as to minimum model for scanning maybe a dozen or so odd sized bits (statements, receipts, notes) of paper a day without spending more than necessary?

Yes, they are still good scanners but there are others out there people use. I have an HP OfficeJet 9010 that has been a solid performer and much more affordable.

Hard to argue with more for less, but I really want something smaller and I’m no longer comfortable with HP. The IX 1300 seems like something you could tuck away in a desk drawer when you’re not using it and even when you are using, it doesn’t look like it takes up very much space.

I’m surprised there isn’t more posted here about the IX1300. Not that it’s the responsibility of this forum to provide product reviews. I just find it a little bit surprising given the affinity with Devonthink. I guess people are just using them without problems and so not finding it necessary to post.

I saw a couple of the posts on the Doxie pro, but my take away from reading them was that it’s a scanner that’s almost as nice as the IX 1300 for about the same price. The IX 1300 seems to be going for about $280 right now. Not sure if that’s a promotional price. Maybe I should jump on it.

I have an older model, an S1300 i. It must be ten years old. I don’t use it heavily, but it is brilliant.

Perhaps a good topic to try out my trial edition of DEVONagent pro. :slight_smile:

I have used my S1300i heavily in spurts. It predates my DEVONthink usage. (NeatReceipts, Evernote, Paperless). I’ve been iPhone scanning more and more these days but recently got a large box of archival papers that needed scanning. I dug out the S1300i, installed all the latest drivers for it and with very little fuss was up and running. Everything going straight into DEVONthink, a new empty database for the musty box of files and papers. It’s kind of amazing how well it still works.
You too can be one of those people who have to suppress a scoff whenever anyone buys an all-in-one printer/fax/scanner. (3 times the functions, 3 times the amount of things that can go wrong).

I’ve just upgrade from DEVONthink 3 to DEVONthink 4. I added the profile for my ScanSnap x1600 scanner to add the new DEVONthink app to the list of applications to the Application list in the ScanSnap’s settings. I then tried scanning a document as usual by pressing the DEVONthink button on the screen of my ScanSnap device. The document scans in, but doesn’t appear in the DEVONthink inbox, as would have happened before the upgrade. What am I missing? Do I need to change the DEVONthink button on the ScanSnap scanner itself? How do I do that?

Did you delete the DEVONthink 3 application from the /Applications folder and reboot the Mac?

Yes, I did both of those.

The DEVONthink button is on the screen of the ScanSnap. It’s what I’ve been pressing to commence a scan of a document I want to send to DEVONthink going back to my x1500 scanner and continuing with my x1600 scanner.

We don’t control any of the buttons on the hardware… or their software either.

Do you mean you edited the existing profile? If you added one, then yes, I suppose you’d need to select it as the profile to scan with.

Also, does DEVONthink have Full Disk Access enabled in System Settings > Privacy & Security?

I did not edit the existing profile. I deleted DEVONthink 3 from the listing of applications in the ScanSnap settings, then added DEVONthink 4 to that list.

I just gave DEVONthink full disk access (which required a quit and reopen of DEVONthink), but when DEVONthink restarted, all of the documents listed in by Inboxes disappeared. NOT good, because I leave a lot of scanned documents in the Inboxes and rely on search to find things. I have DEVONthink set up on both my Mac Studio and my MacBook Pro, and all those documents still appear in the Inboxes on the copy on my MacBook Pro; I just quit that copy of the app so hopefully a sync won’t wipe things out in that copy of my database. But how can I fix THIS problem, as well as reset my ScanSnap and DEVONthink to work happily together again?
